Please be advised that a majority, constituting a quorum, of the Crown King Governing Board may/will be in attendance at events/places including those listed below in Crown King:

The Board will not hold an official meeting.   They will not consider any agenda items and will not collectively discuss or take action on any issues.

The meeting was called to order by Board President, Margaret Henningsen at 4:30 P.M.
Board Member Kris Gray was present.  Board Member, Sheila Coleman was absent.  Also, in attendance were Head Teacher, Shannon Olson and Administrative Assistant, Sue Hite

Minutes

Kris made a motion that the Board approve the January 8, 2020 minutes, Margaret seconded.

Maintenance

Margaret said that Stan Buhr was intending to order the office safety doors.

Financial

Kris made a motion that the board approve payment of Voucher #8114, Margaret seconded.

Head Teacher Report

No change in enrollment.

New Business

  1. The annual classroom site fund plan was reviewed and approved.
  2. Margaret made a motion that the board approve the Waiver of Conflict regarding agreements with Yavapai County through the Yavapai County School Superintendent FY 2020-2021, Kris seconded.

Pursuant to A.R.S. 38-431.02, notice is hereby given to the Governing Board and to the General Public that the Governing Board will hold a meeting open to the public on the 5th day of February 2020 at 4:30 P.M. at the Crown King Schoolhouse.

The Board may vote to go into executive session to discuss and consider any items pursuant to A.R.S. 38-431.03.  The Governing Board may consider any item on this agenda in any order and at any time during the meeting.

Agenda can be changed up to 24 hours before the meeting. All items on the agenda are to be considered study and potential action items.

REGULAR MEETING MINUTES
January 8, 2020

The meeting was called to order by Board President, Margaret Henningsen at 4:30 P.M. Board Member Kris Gray was present. Board Member, Sheila Coleman was present via telephone. Also, in attendance were Head Teacher, Shannon Olson and Administrative Assistant, Sue Hite.

Minutes

Sue noted that the minutes that actually needed approved were from the December 4, 2019 Meeting, not the the November 6, 2019 Board Meeting. Kris made a motion that the Board approve the December minutes, Margaret seconded.

Maintenance

Jerry Swanson arrived and discussed on-going maintenance projects. Shannon will follow up with a new “to-do” list. (Jerry left at 5:00 P.M.)

Financial

Kris made a motion that the board approve ratification of Voucher #8112 and payment of Voucher #8113, Margaret seconded. The board approved the up-dated quote from Buhr Contracting for safety doors.

Head Teacher Report

No change in enrollment.

Piano instruction for Logan: Logan would like to learn piano, and Jordan has expressed interest in providing lessons for her at school. Specific details have not been determined, but it would most likely be 30 minutes, twice a week. I checked board policy, and as long as he is under my direct supervision, fingerprint clearance is not required. If we decide to have him get fingerprint clearance for liability purposes, it would cost $25. He does not need to get the full background check as he will not be working with students unsupervised. Margaret made a motion that Jordan get fingerprinted and the position of music instructor be offered to him at $15.00 per hr., to be paid with Extra-Curricular Tax Credit Funds, effective immediately, Kris seconded.

  • Field Trips
    • We have a field trip planned for February 4. We are attending the musical, We the People, at Yavapai Community College. The performance is free; however, I would like to take Logan and Danielle (and possibly Louis) to lunch after the show. As we did in October, we will drive separately. Board approved lunch reimbursement.
    • Renaissance Festival in February: Student days are offered at a low cost, however, I am not certain if we can attend on either of the two days. If not, can the school pay for Logan to attend on her own time? It would be the regular attendance price of $27 for adults and $17 for children. I haven’t discussed with Danielle yet.
    • Looking ahead to Spring Break, I know that Logan would love to attend the Phoenix Center for the Arts Camp. The price has not been determined yet, but I’m assuming it will be similar to the fall camp, which was $230.
  • Professional Development
    • I am attending an 8-hour Youth Mental Health First Aid training at the Yavapai County Education Service Agency (ESA) on Friday, January 31. There is no cost for the training, but I will have to buy lunch. The board approved and agreed to reimburse Shannon for lunch, mileage and also lodging if weather is a concern.
    • CPR/First Aid Training: Sue and I would like a refresher course. I feel it would also benefit Logan, so I’d like to hold it during the school day. Sue asked Steve Lombardo if he is interested, and we are discussing dates. He is also checking with the fire department to see if any of their personnel would like the training. Once we have the class planned, we’d like to open it up to community members.

Margaret volunteered for the Board Position for one year, Kris and Sheila approved.

December 4, 2019

The meeting was called to order by Board President, Margaret Henningsen at 4:30 P.M.

Board Member Kris Gray was present. Board Member, Sheila Coleman was absent. Also, in attendance were Head Teacher, Shannon Olson and Administrative Assistant, Sue Hite.

Kris made a motion to approve the minutes from the November 6, 2019 Board Meeting, Margaret seconded.

Financial

Margaret made a motion that the board approve ratification of Vouchers #8109 and #8110 and payment of Voucher #8111, Kris seconded.

Head Teacher Report

No change in enrollment.

  • Planning for the Christmas program is underway. It’s scheduled for Wednesday, December 18 at 6:00 P.M. The time is different from past years, so I’d like to make sure the change is okay before I hang signs. Louis, Tony and Karen have all committed to participate in the program.
  • I asked Logan’s parents if they want me to provide growth and development instruction for Logan this year, and they said yes. I asked our nurse for assistance with curriculum. She referred me to the Community Health Coordinator, who is sending curriculum resources. I will have Danielle and Louis look at the materials prior to instruction and approve the content.
  • I received notice on the student laptops that support for Windows 2007 is ending in January, 2020. I haven’t looked into it, but bringing it up just to keep everyone informed.

Margaret made a motion that the board hire Gary and Beth Cummins for IT services, Kris seconded.

Maintenance

Margaret met with Stan Buhr about replacing the office doors with safety doors. Margaret will call Jerry to discuss the timeline for unfinished projects.

Margaret made a motion to approve the minutes from the October 2, 2019 Board Meeting, Sheila seconded.

Financial

Margaret made a motion that the board approve ratification of Voucher #8107 and payment of Voucher #8108, Sheila seconded.

Received $200.00 Tax Credit donation from Nancy Davis.

Head Teacher Report

No change in enrollment, however, I did receive another inquiry regarding a family with three children.

The field trip to Yavapai College Performing Arts Center was awesome.

Logan loved the camp at Phoenix Center for the Arts! If we can do it, she’d love to go again in the spring.

Maintenance

Margaret will speak to Stan Buhr, Jerry Swanson and Jerry Rhodes about completing the School safety projects.

  1. For policy GCF the board agreed to insert 15 days based on our current contract language. For policy GCO we will insert the current language from our policies previously approved regarding evaluations, ineffective teachers, and improvements plans.

Margaret made a motion to approve ASBA Policy Advisory 651-669 (with the exception of 664 which is not applicable, Sheila seconded.

October 2, 2019

Call meeting to order. The meeting was called to order by Board President, Margaret Henningsen at 4:30 P.M.

Margaret made a motion to approve the minutes from the September 4, 2019 Board Meeting, Kris seconded.

Correspondence:

Shannon approved a Funding Proposals, Grants, and Special Projects (Time and Effort Reporting) Information item that needed to included in the District Policy Handbook.

Financial:

The Board approved an Annual Blanket Purchase Order as recommended by the Arizona State Auditor. Margaret made a motion that the board approve ratification of Voucher #8105 and payment of Voucher #8106, Kris seconded.

Head Teacher Report:

No change in enrollment, however, I did receive an inquiry regarding next year from a family with two children.

I would like to purchase Go Math resources for 7th and 8th Grade. Go Math 1st – 6th grade materials were purchased in 2016. The cost is $673.15 and includes a 3-year digital subscription. Margaret approved, Kris seconded.

The school will be open from 11:00 – 3:00 for the Apple Festival. Shannon, Sue and Karen are working.

We are going to the Yavapai College Performing Arts Center on October 23 to see Call of the Wild. I am meeting Logan and her mom there. I would like to take them to lunch after the show. Margaret approved reimbursement for lunch, Kris seconded.

The same camp at Phoenix Center for the Arts that we wanted to send Logan to for Spring Break is available for Fall Break. It works for them this time, and Logan would love to go. The cost is $230, and I would like to use our field trip funds to pay for it. Margaret approved, Kris seconded.

Teacherage Maintenance:

The hot water heater stopped working and needed to be replaced. The original door to the space that holds the water heater was too small to take the water heater out, so Jerry had to cut a larger door. It was difficult to find a water heater that fits in the space, and then modifications had to be made in order for it to fit in the space.

The side sunroom is completely finished. Jerry and Jordan are working on the front sunroom this week. When the exterior is painted and storm doors are replaced, the project will be complete.

New Business:

  1. Reviewed and signed an addendum to the IGA between Crown King ESD #41 and the YCESA for special education and nursing services for FY20.
  2. Reviewed and approved the Crown King ESD #41 Annual Financial Report for FY19
